How to Reserve Meeting & Event Space

Occasionally, we all need a little bit of extra space for mission-planning meetings. Our Flagstaff Campus offers state-of-the-art conference rooms in our Incubator (Building A) and Accelerator (Building B), with views that inspire moonshot thinking for our tenants and non-member entities (as permitted).

FOR MOONSHOT CAMPUS TENANTS/MEMBERS

If you currently lease space (office, lab, or manufacturing) on our Flagstaff Campus, please click the link below to login into your Skedda meeting reservation account. There is no charge for meeting room rentals for Moonshot tenants/members. Upon moving in, you will be issued a Skedda meeting account. ​Moonshot tenants/members may reserve conference space on weekends and after hours. Should you need your keycard coded for entry into the Accelerator Building (if your office is in the Incubator), please reach out to us at [email protected]. Access to the Accelerator Building on weekends or after hours requires a keycard.

FOR NON-MEMBERS (Those not leasing space at Moonshot)

While we have two conference rooms for rent, we are not a full-fledged conference/meeting room rental space. Our primary function is to provide programming and office/lab space (and meeting space) for the startup founders and companies on our campus.

If you're not currently leasing office, lab, or manufacturing space at our Flagstaff Campus, please click the "Non-Member Sign Up" button below. Our team will send you a Skedda meeting reservation account login link at the earliest convenience. Non-members will be required to pay the rental fees upon booking using our Skedda meeting reservation system. Rental fees and descriptions are listed below in Meeting Room Details.

Please note:

• You can view the public calendar below in order to see if the dates you're hoping to reserve are available.
• 8:30 am is the earliest time you can access the conference room. Please schedule accordingly if you have any set-up prior to the beginning of your meeting.
• Non-members are unable to schedule a conference space less than 72 hours in advance of their event. 
• Non-members can only schedule up to 90 days in advance of their event. Moonshot also reserves the right to cancel, shift meeting spaces based on Moonshot tenant/member demand and EOC operations events. Moonshot will always communicate with the entity that is booking before any changes are made.
• Non-members are not permitted to book after hours during the week. Weekend bookings are not permitted for non-members. Moonshot Flagstaff Campus conference space hours are 8:30 am - 5:00 pm Monday - Friday. ​

​Available to Moonshot Clients/Members & Public/Non-Members

Main Conference Room 

The Accelerator's Main Conference Room (in Building B) seats roughly 60 people comfortably with chairs ONLY - NO TABLES or 30 people lecture-style with chairs AND rolling, configurable tables (see photo). 

INCLUDES: 

• Two drop-down projection screens (wired into ceiling-mounted projection system and professional sound)
• Two mounted LCD TVs and a stationary white board
• Podium with wired microphone
• HDMI connection to audio visual equipment
• Gorgeous view facing the San Francisco peaks
• Rectangular shaped tables (no circular tables are available 
  
  

RENTAL RATES:

• *Moonshot Tenants/Members may reserve rooms free-of-charge*
• $125 Full day rental /$75 half-day rental for the public - 8:30 am to 5:00 pm are standard hours. Weekends and after hours bookings are not permitted for non-Moonshot members.
• Sales tax and Stripe processing fee will be added to the reservation cost. 
• Conference room rentals/reservations are first come/first serve and are self-serve as well.
  
  

BUFFER BETWEEN RESERVATIONS:

• We are instituting a 30-minute buffer gap between bookings in our Accelerator Main Conference Room.
  
  

SELF-SERVICE ROOM RENTAL:​

• These are self-service conference room rentals. We do not offer food and beverage service; however, you are permitted to bring food and beverages (excluding alcohol) into the meeting space.​
• The side doors are not allowed to be propped, unless it is for a few minutes to bring items in or items out to your vehicle. These doors cannot be propped for any other reasons.
• All attendees are required to return the conference room they reserved to its original state (tables, chairs, trash in bins) before leaving the facility. If you'd like to reconfigure the room, you may do so; however, you will need to return the room to its original state prior to leaving. Rooms that are in disarray will be subject to a clean up fee of $100.00.​ ​

CANCELLATION POLICY:

• A full refund will be issued for any reservations cancelled 30 days prior, or if the City of Flagstaff Emergency Management takes the room and alternate accommodations cannot be made.
• A 50% refund can be issued under any other circumstances.
• Reservation re-bookings due to weather can be credited, and must be used within 90 days, or a 50% refund applies.
• Refunds will be issued through Stripe (our booking payment processor) and will take 5-7 days to reach your account.

To reserve and pay for a room (as a non-member), you must first fill out a Conference Room Rental Agreement, then you'll be sent a Skedda login link to create your account for self-booking/payment.

• Conference room rentals/reservations are first come/first serve and are self-serve as well.

Frequently Asked Questions

Are food and drinks allowed in conference/meeting rooms at Moonshot?

Yes, please feel free to bring or order in drinks (non-alcoholic) and food. We do not offer catering or assistance with food and beverages, so please keep that in mind when you're hosting an event for your participants. 

Do you provide circular tables in the Main Conference Room?

No, we only provide rolling rectangular-shaped tables as shown above in the accordion above detailing MAIN CONFERENCE ROOM. Please see photos under MAIN CONFERENCE ROOM. 

My organization is a nonprofit and I don't lease space at Moonshot. May I Reserve meeting space for free?

As of May 22, 2024, nonprofit organizations who are not Moonshot members will be charged the non-member reservation fee listed at https://www.moonshotaz.com/reserve-meeting-space.html​. Rental fees are due when a reservation is made via Skedda.
